To support the Operations Assistant and estimating department with general administration tasks.
The Apprentice’s Role
Your main goals include:
To work closely and effectively with the contracts team
To complete projects within set timescales
To reduce above line project related costs
To increase customer satisfaction by fast response
Reduce lead time on projects
Your work as the Operations Assistant you will be accountable for:
Participating in the monthly operations meetings with ideas and problem solving
Uploading pre-contract information to SimPRO
Ensuring new contractors are uploaded to SimPRO and have the correct equipment such as; ID Badges etc.
To create project schedules for contractor use on site
Converting Jobs sent from sales onto SimPRO
Producing Work Orders to send to the contractors
To arrange cost out projects when required
To assist with procurement exercises on a project by project basis ensure best value
To attend site is required to check on project progress and customer sign off
To create handouts for the contractors regarding toolbox talks
To resolve project issues as and when required
To Book accommodation and travel for employees in the Operations Team
To send out and collect customer satisfaction questionnaires on completion of the projects
To update all project files with relevant information as required after completion of jobs
Preparing Induction documentation
Assist with stock ordering and hire of equipment
Scheduling checks with the health check manager to ensure the contractors have the correct information for site
Customer communication regarding reoccurring health checks
To carry out any other project related tasks as requested by the project managers
Answering daily telephones and meeting visitors
Check all catalogue prices are up-to-date
To complete company health and safety documents to ensure that all certification, systems and polices are up-to-date
These are the standards the Operations assistant will be measured against:
How up-to-date Health and safety/Risk assessment records are kept
Accuracy of schedules and project information to the sub-contractors
Ordering Stock dates and delivery
This role is to assist the project managers in any project related tasks which are many and varied so requires a fluid mind and ability to problem solve.
Working Hours: The working hours will be 40 hours per week, working form 8:00am-17:00pm.
Wages: £180.00 per week, based on a 40 hour week. Any overtime above the 40 hours per week, will be paid at the appropriate national minimum wage depending on age.
Holiday: 28 days holiday entitlement (including bank holidays) will be paid each year, during the course of your apprenticeship.

The successful candidate will have good communication skills with the ability to multi-task. In addition, you will have knowledge and confidence in using a variety of IT applications and effective keyboard skills and the ability to effectively prioritise workload and work to deadlines.
You will be organised, hard-working and reliable. You have a strong work ethic and be able to work independently as well as being an effective team member.
GCSE grades A*-C or equivalent is preferred but not required.
The Apprenticeship in Level 3 Business Administration consists of:
◾Level 3 Business Administrator Standard
◾Functional Skills in Maths and English
You will attend monthly sessions as part of your off the job training throughout your apprenticeship. Most aspects of your training will be delivered on site by the employer, where you will gain all the skills, knowledge and experience to assist you in this role. Your duties will vary from day to day, and throughout your on site learning process you will work closely with experienced members of staff.
You will have regular visits every six to eight weeks from your designated assessor, who will help you and monitor your progress throughout your apprenticeship programme.
