This is a brilliant role working with a limited company to support the smooth running of administration.

The Apprentice’s Role

General Administration

• To ensure that the office and telephones are open to both internal and external callers between 9.00am and 5.00pm (Monday to Friday)
• Ensure all outgoing post is collated, sent out in a timely manner and the status of items delivered by recorded delivery monitored
• To ensure the office space is well maintained
• To identify and report health and safety requirements within the office environment as well as promoting health and safety standards
• To actively comply with and promote all working policies and procedures
• Monitoring of staff rotas for omissions or errors i.e. two people marked to work on the same day, shifts which haven’t been covered etc and editing the rotas if instructed by a member of SMT
• Developing and overseeing SMT diary and planning systems as well as office filing systems
• Creating easy read documents using photo symbol software


• Formatting rotas for payroll using MS Excel
• Calculating annual leave entitlement
• Data entry through Moneysoft payroll system
• Uploading Pension data to NEST
• Completing Full Payment Submissions (FPS) & Employer Payment Summary (EPS)


• Overseeing SMT diaries, booking meetings when required / as instructed
• Ensuring that employees have booked return to work meetings with the appropriate manager when they call in fit for duty
• Supporting managers to prepare resources for meetings i.e. agenda, supporting documentation, flipcharts, return to work documentation etc
• Supporting managers to prepare catering requirements and IT support where necessary
• Take and produce minutes of meetings, including disciplinary hearings as and when required
• Drafting and typing letters, memos and other documents as required

Information Technology

• Ensuring that all digital files are kept up-to-date and that the server is maintained to the expected standard
• Ensuring that all office equipment is in working order at all times
• To update the organisation’s website as and when required
• To utilise social media i.e. Facebook, Twitter regularly and promote a positive image of the organisation
• Monitoring and maintaining service user and staff digital files
• Monitoring and maintaining the organisations databases
• Analysis of data

Responsibility for resources

• Use resources (food & drink, stationary, first aid supplies etc) efficiently, effectively and responsibly
• Minimise unnecessary resource waste
• Dispose of waste in an environmentally friendly manner

Operational Development Responsibilities

• Quality Assurance process (including sending surveys and collating responses)
• Feedback and reporting systems
• Actively participate in the health and safety requirements of the company, as designated by your line manager
• Having a good understanding of the company’s policies and procedures
• Creating quarterly newsletter


• Maintaining and monitoring staff and service user files
• Highlighting any errors and reporting to appropriate manager
• Ensuring all documents are filed correctly as soon as possible after receiving them


• Employment contracts
• Absence analysis
• Monitoring processes i.e. ensuring return to work interviews take place
• Support with induction process for new employees (as required)
• Responding to reference requests for ex-employees

• When required, creating digital copies of service user financial records at the end of each month, checking financial entries are correct, highlighting any errors and reporting to appropriate manager
• When required, collate data from activity recording forms/ incident forms, create informational graphs from the data collated

• To be a representative of the organisation’s ethos and values to the outside world and act as a role model to all employee’s, volunteers and trainees accessing Premier Care (Plymouth) Ltd.

• The post holder may be based at any location within Premier Care (Plymouth) Ltd.

Working Hours: You will be working 37.5 hours a week, Monday to Friday. Specific working hours to be discussed on interview.

Wages: £157.50 per week based on a 37.5 hour week. Any overtime above the 40 hours per week, will be paid at the appropriate national minimum wage depending on age.

Holiday: 28 days holiday entitlement, including bank holidays, will be paid each year, during the course of your apprenticeship.

Premier Care Ltd provides support and care services for individuals who have learning disabilities, individuals who have physical disabilities, older people with learning disabilities, people with sensory loss and individuals who may have related mental health problems and complex needs. The organisation was founded in 2006 and presently employ 150 people. Initially the organisation was a residential & supported living service but eventually the residential homes closed down and all of the people we support moved to supported living environments. We have also gone on to create a domiciliary care service within the last two years.

Dependent on successful completion of Level 3 Business Administration and successful probationary period – there is the potential that this role could be permanent.

Skills Required

You will need to be organised, methodical/logical, consistent, confident, able to work under pressure, clear communicator and able to use own initiative. You will need the ability to use advanced functions of word-processing software to produce well-presented, high quality, grammatically correct documents. You will need to be able to use a range of software tools such as Microsoft Excel. You will also need to be able to work in a team or alone.

Personal Qualities

Premier Care are looking for someone who is enthusiastic, self motivated and willing to learn.

Prior Qualifications

You will need GCSE Maths and English grades A*-E and some knowledge of Microsoft Excel is essential for this role.

The Apprenticeship in Level 3 Business Administration consists of:

Level 3 Business Administrator Standard Functional Skills in Maths and English

You will attend monthly sessions as part of your off the job training throughout your apprenticeship. Most aspects of your training will be delivered on site by the employer, where you will gain all the skills, knowledge and experience to assist you in this role. Your duties will vary from day to day, and throughout your on site learning process you will work closely with experienced members of staff.

You will have regular visits every six to eight weeks from your designated assessor, who will help you and monitor your progress throughout your apprenticeship programme.
